Code of Ethics and Conduct



1. Mission and Value Statement

At X2 Medical Billing we are committed to providing ethical and professional medical reimbursement services. We hold a high respect for each and every medical provider we work with and pledge to treat one another with loyalty and dignity and act with absolute honesty, integrity and fairness in the way we conduct our business and the way we live our lives.

2. Purpose of the Code of Conduct

The X2 Medical Billing LLC Code of Conduct provides guidance to all of our colleagues and assists us in carrying out our daily activities within appropriate ethical and legal standards. These obligations apply to our relationships with medical providers, patients, third party payers, subcontractors, independent contractors, vendors, consultants, and one another.The X2 Medical Billing Code is a critical component of our overall Ethics and Compliance Program. We here at X2 Medical Billing developed the Code to ensure all parties involved with the organization that we meet our ethical standards and comply with applicable laws and regulations.

3. Leadership Responsibilities

While all associates and or employees of the X2 Medical Billing organization are obligated to follow our Code, we expect to set forth the example, to be in every aspect a model. We have gone to great lengths to ensure that X2 Medical Billing promotes the highest standards of ethics and compliance, encouraging all persons within the X2 Medical Billing organization to allways come forth with any concerns if and when they arise. We here at X2 Medical Billing shall never sacrifice any ethical and compliant behavior in the pursuit of business objectives.

4. Our Fundamental Commitment to Those We Work With

To the patients we bill for: We at X2 Medical Billing are committed to and promise each and every patient we interact with our sensitivity, compassion, confidential, prompt and courteous repsponse. We understand that your protected health information is very sensitive and we are committed to maintaining its confidentiality. We will not release or discuss any of your information with others unless necessary to serve you as the patient required by law. And to be assured that no associate or employee has the right to your patient information other than that necessary to perform his or her job.

To the associates and employees of X2 Medical Billing: We are committed to providing a work inviroment that will treat all parties involved with fairness, dignity, and respect, while at the same time affords them the opportunity to grow, develop professionally, and to work in a team environment in which all ideas are considered. X2 Medical Billing offers it's employees and associates an open door policy.

To our medical provider clients: We are committed to providing the most current up to date equipment and technology to ensure legal and ethical conduct and provide outstanding professional support and communication with all parties involved.

To all third party payers we have contact with: We are committed to dealing with all third-party payers in a way that will demonstrate X2 Medical Billing's commitment to all of our health care provider's obligations and to be assured that we share the same concern for bringing efficiency and professionalism to the services we perform. We will go to great lengths to assure that all billings to government and commercial payers and patients are true and accurate and conform to all Federal and state laws and regulations.

To our regulators: X2 Medical Billing is committed to providing an environment in which all compliance with rules, regulations, and solid business practices are an integral part of our daily operations. We understand and accept the responsibility to self-govern and monitor adherence to the requirements of law and to our Code of Conduct.

5. Legal and Regulatory Compliance

All associates and employees at X2 Medical Billing will comply with all applicable laws and regulations. We must and will be knowledgeable about and ensure compliance with all laws, regulations and conditions of participation; and are fully aware that any violations or suspected violations are immediatley reported to a supervisor, member of management or the Compliance Officer.

At X2 Medical Billing we will provide our employees and associates with all needed information and education to comply witha ll applicable laws, regulations and conditions of participation.

6. Business Information and Information Systems

X2 Medical Billing is fully aware of it's responsibilty for the integrity and accuracy of our organization's documents and records, and we shall comply with regulatory and legal requirments to ensure all recordes are available to support our business pratices and actions. No one may alter or falsify information on any record or document..

All medical and business documents and records shall be retained in accordance with the law and our record retention policy. Medical and business documents including paper documents such as letters and memos, computer-based information such as e-mail or computer files on disk or tape, and all other medum that contains information about the X2 Medical Billing organization or its business activities. Records shall be retained and destroyed according to our policy. Records and or patient health information must be retained for six years from the date of creation. We may not tamper with, remove or destroy them prior to the specified date. X2 Medical Billing will never accept original patient medical records from a provider.

Information Security and Confidentiality

All associates and employees of X2 Medical Billing shall not at any time share confidential information with others unless the individuals have a legitimate need to know this information and have agreed to maintain the confidential information. Confidential information includes personnel data maintained by the X2 Medical Billing organization; patient lists, and clinical information; patient financial information; passwords; financial data ; marketing strategies and techniques; supplier and subcontractor information; and proprietary computer software.

The X2 Medical Billing's clinical and business process relies on timely access to accurate information from it's computer system. Passwords act as individual keys to the X2 Medical Billing Software system and to critical patient care and business applications, and must be kept confidential. It is part of our job to learn about and practice ways to protect the confidentiality, integrity and availability of electronic information assets.

Electronic Media

All communications systems such as e-mail, Internet access, voice mail, and X2 Medical Billing Software are the sole property of X2 Medical Billing LLC. This information is to be used for business purposes only. Patient and confidential information shall not be sent through the Internet until such time that confidentiality can be assured. Associates and employees of X2 Medical Billing may not use internal communication channels or access to the Internet while on the X2 Medical Billing communication system to post, store, transmit, download, or distribute any threatening materials; knowingly, recklessly, or maliciously false materials; or obscene materials including anything constituting or encouraging a criminal offense, giving rise to civil liability, or otherwise violating any laws. Also these channels of communication may not be used for chain letters, personal broadcast messages, or copyrighted documents that are not authorized for production; nor are they to be used to conduct an external job search or open mis-addressed mail. Employees or associates who abuse our communications systems or use them excessively for non-business purposes may lose these privileges and be subject to disciplinary action.
